One person, four jobs
In a one-person business you do the work, answer the phone, keep the books and run the marketing — usually at the same time. The phone rings while your hands are full, and some callers simply ring the next name on the list. Invoices wait for the evening, nobody chases the customer who has not paid, and the business’s Instagram has not moved since spring.
You are far from the only one working this way: of the enterprises born in the EU in 2023, 83.4% consisted solely of self-employed people, with no employees at all (Eurostat). It is not a question of discipline; it is one pair of hands. What helps is someone who takes the calls you cannot, turns what was agreed into an order and an invoice, keeps your social media going and reminds you of what you promised — without you having to manage them. It is worth first checking how many calls small businesses miss — and what each one costs.
Who takes which job: not one AI assistant but four agents
Weyvox is an app for iPhone and Android with four AI agents, each with their own job. You write in one chat — to one of them with @Name, or simply to whoever is responsible — and when work passes between them, the chat shows it, for example “Leo → Marc”.
- Cindy, telephony — the phone. With Agent auto-answer on, she picks up your business line immediately or after 10, 20, 30 or 40 seconds of ringing, even when your phone is off. She introduces herself as an AI agent, quotes only your prices, books into genuinely open slots, offers the customer an SMS confirmation and leaves you a note. When you ask, she also calls customers and suppliers for you. More: Cindy as your AI receptionist and AI phone calls on your behalf.
- Marc, business — customers and paperwork. He keeps your business profile, customers, orders, services and prices, and books appointments around your calendar. He prepares invoices, quotes, statements of work and contracts as PDFs from your own templates, and tracks who has paid and who owes you. More: Marc as your AI invoice generator.
- Alice, marketing — social media. She runs the accounts you connect — Instagram, Facebook, TikTok, YouTube, LinkedIn, Threads, Pinterest and Bluesky — writes a version of each post for each network, makes photos and short video clips or edits reels from your own footage, and publishes now or on a schedule. More: Alice as your AI social media manager.
- Leo, team lead — memory and reminders. He remembers what matters about you and your business, reminds you at the time you named, searches the web and hands work to the right colleague. More: how AI employees work together.
On the Business and Professional plans Leo also runs Goals: you name a result — for example “collect what customers owe by the end of the month” — and he plans the steps for the team within a spending limit you set (how Goals work). The Results tab shows the money, what needs your attention and what the team did.
AI for tradespeople in practice: an electrician’s day with the team
An ordinary Tuesday for a self-employed electrician, with Cindy’s auto-answer set to 20 seconds:
- 07:45 — The reminder you asked Leo for last night arrives: pick up the cable from the wholesaler.
- 10:20 — You are up a ladder when a new customer calls. After 20 seconds Cindy answers in your business name, says she is an AI agent, gives the price of fitting an outdoor light from your price list and offers Thursday at 9:00 — a slot she checked against your calendar and the orders already booked. The customer agrees, the order goes into your list, and after a yes the customer gets an SMS confirmation. A note waits for you in the chat.
- 12:30 — Over lunch you open the new order, check it and tap Confirm. Then: “@Marc, invoice the Martins for yesterday’s fuse box replacement.” The invoice arrives in the chat as a PDF from your template, with the next number in the series, ready to forward.
- 14:10 — “@Cindy, call the wholesaler and ask if the new fuse box has arrived.” Her Autonomy is off, so she first shows a card with the number and the purpose; you tap, she calls, and the answer comes back as a note.
- 17:40 — You send Alice three photos of the kitchen lighting you finished today. She writes a post for Instagram and another for Facebook; her Autonomy is off, so she shows you the text and the pictures first, and after your yes they go live.
- Next Monday — Two summaries arrive by themselves: who still owes you money, and last week’s calls, orders and payments.
What you did yourself: the wiring and a few taps. The phone, the invoice and the post were the team’s work.
Ask first or act alone
Each agent’s page has an Autonomy switch. Off, the agent shows you what it is about to do and waits for your yes; on, it acts and reports back. For each agent it means something specific:
| Agent | Autonomy off | Autonomy on |
|---|---|---|
| Cindy | Before every call from the chat she shows a card with the number and the purpose, and dials only after your yes. | She places calls on her own, without the card. |
| Marc | Before booking a time, changing an order, texting a customer or issuing an invoice, act or contract, he shows what he is about to do and waits. | He books open slots, updates orders, sends SMS confirmations and prepares documents on his own. |
| Alice | She shows the text and the pictures first and publishes after your yes. | She publishes on her own; with an active social media plan she schedules the week’s posts herself. |
| Leo | He asks before removing anything from his memory. | He clears reminders that have passed and facts that no longer hold, and briefly says what he removed. |
Two things stay yours whatever the switches say: a payment is marked only when you say the money arrived, and a goal starts only when you accept its card. A sensible start is to let Marc and Alice ask first until you have seen a few of their drafts — then switch them on.
AI tools for freelancers, an assistant or an AI team: your options compared
There are five realistic ways to handle calls, paperwork and posts when you work alone. Each has its place:
| Approach | What works | What falls short | What it costs you |
|---|---|---|---|
| Doing it all yourself | You know every customer and every job. | Calls during a job go unanswered; invoices and posts wait for the evening — or never happen. | Your evenings, and the customers who called someone else. |
| Voicemail, and paperwork in the evening | Cheap, and nothing is lost outright. | Callers have to leave a message and wait, and some won’t; follow-ups depend on your memory. | Little money, a lot of your time. |
| A part-time assistant | A person with judgement, good with the unusual. | Covers only their hours, needs training and managing, and costs the same in a quiet month. | A wage, plus the time to manage it. |
| Separate apps: call answering, invoicing, post scheduling | Each can do its own job well. | Nothing connects: an order taken on the phone does not become an invoice or a reminder by itself — you are the glue between them. | Several subscriptions, and your time copying between them. |
| An AI team app such as Weyvox | One chat: a call becomes an order, the order an invoice, a promise a reminder; posts are written for you; you choose per agent what needs your yes. | Not a person — unusual situations need you to take over. It needs a phone line from the app and credit for the agents’ work, and it is not accounting software. | €19 a month excl. VAT on Start, with €25 of credit; usage beyond that from your balance. |
If only one job is the problem — say, social media — a single-purpose tool may be all you need. An AI team makes the most sense when several of these jobs land on the same pair of hands.
What it costs a sole trader a month
Weyvox is a monthly subscription bought in the App Store or Google Play. For one person working alone, Start is the natural plan: €19 a month excl. VAT — the store shows the price with your country’s VAT before you pay — with €25 of credit for the agents’ work every month. Every charge takes the credit first and then your balance, which you top up in the app. On Start, credit left at the end of the month expires.
A worked month, using the average prices from the Cost simulator on each plan card and the SMS rate:
| Agent | Work in the month | Average | Total |
|---|---|---|---|
| Cindy | 20 calls of about 2 minutes | ≈ €0.50 a call | €10.00 |
| Cindy | 10 SMS confirmations, one segment each | ≈ €0.08 a segment | €0.80 |
| Marc | 8 documents: invoices, quotes, statements | ≈ €0.60 a document | €4.80 |
| Alice | 4 posts with a photo or video | ≈ €1.80 a post | €7.20 |
| Leo | 4 everyday tasks in the chat | ≈ €0.50 a task | €2.00 |
| Total | inside the €25 credit | — | €24.80 |
10.00 + 0.80 + 4.80 + 7.20 + 2.00 = €24.80 — inside the €25 credit, so that month the agents’ work costs nothing beyond the plan. Your operator number has its own monthly fee, which depends on the country and the number and is shown in the app before you buy (your first number is €5 cheaper); it is charged the same way, from the credit first and then from your balance. Keeping the number your customers already know costs a one-time €5 to connect — and for the forwarding to stay cheap, take a Weyvox number from the same country.
A busier month — 40 calls, 20 SMS, 12 documents, 8 posts and 10 tasks — comes to 20.00 + 1.60 + 7.20 + 14.40 + 5.00 = €48.20: €25 from the credit and €23.20 from your balance, so €19 + €23.20 = €42.20 excl. VAT for the month, before the number’s fee.
Two things move these numbers:
- The line. The ≈ €0.50 call is two minutes at a low line rate: to a French, US or Irish number a minute with the agent is ≈ €0.24–0.26. To a UK number it is ≈ €1.15, so the same call is about 2 × €1.15 = €2.30. Every country’s rate is in the table on the pricing page.
- When Business pays for itself. On Start, €95 of agents’ work costs 19 + (95 − 25) = €89 — the price of Business, which comes with €110 of credit. Below that, moving to Business buys you Team, Goals and background tasks rather than a lower bill.
Invoices, tax and what stays yours
For a sole trader or freelancer, paperwork is where Marc earns his keep:
- Invoices from your own templates. Tell Marc your details once — name, address, tax number, IBAN — and he saves them into your PDF templates, with your logo, signature and stamp if you use them. Numbers are assigned in sequence by the app, never invented by the agent, and anything he does not know — an amount, the customer’s details — he asks for.
- Who owes you. Every order carries its payment status. When an invoice passes its due date unpaid you get a reminder, a list of debtors arrives every Monday, and Cindy can call a customer about an unpaid invoice when you ask her.
- Your figures. Ask “how much did I earn this quarter?” and Marc answers from the payments you marked, with expenses from the supplier and tax documents you uploaded. Send him a bank statement and he matches the amounts to unpaid orders — and marks them paid only after your yes.
- Papers with an end date. Upload your insurance, lease or licence to Documents, and you get reminders 30, 7 and 1 day before it expires.
What stays yours: registering and declaring your income, your tax return, VAT, and any rule your country sets for invoices. Weyvox is not accounting software and not a certified e-invoicing platform, and it sends nothing to any tax authority — if your tax office requires records or invoices to go through approved software, you still need that software. The documents Marc prepares are drafts you check before sending, not legal, tax or accounting advice (Terms of Use, section 13).
When you grow
Weyvox works for one person, and it grows with you when you are no longer alone:
- Team, from the Business plan. Add a helper in Settings → Team: they sign in with an 8-character access code, without registering, and see only the orders you assign them and the agents you allow. You decide whether they see prices and can mark payments, and with Cindy assigned you can hand them one of your business numbers. Their card shows their last 7 days, and Leo tells you how they are doing when you ask. Each seat is €10 a month; up to 10 members.
- Goals and background tasks, from the Business plan. Business allows 5 goals per calendar month; Professional has no limit.
- The plans. Business is €89 a month excl. VAT with €110 of credit; Professional is €199 with €250, and its unused credit moves to your balance instead of expiring. You change plan in Settings → Subscription, and the credit left moves to your balance.
What it will not do
- Keep your books or file your taxes. It prepares documents and keeps track of payments; accounting and declarations stay with you or your accountant.
- Decide where your judgement is needed. Cindy is an AI agent, not a person. When a call needs you, open the mini call card and take the conversation over.
- Work without funds. When the plan’s credit and your balance are both used up, paid work stops and Cindy does not answer — calls ring for you as ordinary calls until you top up or the next month’s credit arrives.
- Answer without a line. Cindy needs an operator number bought in the app. In some countries the operator checks documents first; a temporary number can bridge the wait.
- Goals, background tasks or new team members on Start. They come with Business; on Start, Leo does longer work within the conversation itself.
- Run ads or send direct messages. Alice publishes, answers comments and shows statistics; she does not run ads, send DMs or follow accounts. On TikTok a post arrives as a draft that you publish in the TikTok app.
- Call emergency services. Keep an ordinary phone for that.
- Promise results. Customers can still say no, and a booked time can still be cancelled.

How to try it
Install Weyvox on iPhone or Android and sign up with your phone number and an SMS code — no email, no password. Then tell Leo in one line what you do: he explains how Cindy, Marc and Alice can help exactly your business, while Marc fills in your business profile. In the next stage the team shows real work on your own business: Cindy calls your phone as if you were a customer, takes an order and texts you a confirmation, Marc turns that order into a document, and Alice makes a photo for a post. Only then do you choose a plan.
There is nothing to set up for your line of work, and any agent except Leo can be switched off on its page. Weyvox is made for professional use — sole traders, the self-employed and companies — and for people aged 18 or over.
Questions people ask
What is the best AI for sole traders, freelancers and contractors?
The one that covers the jobs you cannot do while you work: the phone, the paperwork and social media. Weyvox is built for exactly that — four AI agents in one chat: Cindy answers and makes calls, Marc keeps customers, orders and invoices, Alice posts on social media and Leo reminds you on time. The Start plan is €19 a month excl. VAT with €25 of credit for the agents’ work.
Can an AI answer my phone while I’m on a job?
Yes. In Weyvox, Cindy picks up your business line immediately or after 10–40 seconds of ringing, even when your phone is off. She says she is an AI agent, quotes your own prices, books an open slot and leaves you a note in the chat; you can take the call over at any moment.
Can AI send invoices for freelancers?
It can prepare them. In Weyvox, Marc makes invoices, quotes and statements of work as PDFs from your own template, numbered in sequence by the app, and you forward the file to your client. He tracks who has paid, reminds you when an invoice is overdue and lists your debtors every Monday; the documents are drafts to check, not accounting or tax advice.
How much does an AI personal assistant cost a sole trader per month?
Weyvox’s Start plan is €19 a month excl. VAT and includes €25 of credit for the agents’ work. At the simulator’s averages, 20 calls, 10 SMS, 8 documents, 4 posts and 4 chat tasks come to €24.80 — inside the credit. Add your operator number’s monthly fee, which depends on the country; calls to countries with a dearer line cost more.
Will the AI do my bookkeeping or my tax return?
No. Weyvox is not accounting software or a certified e-invoicing platform, and it sends nothing to any tax authority. Marc can tell you what you earned and who owes you, from the payments you marked, but declaring your income and paying tax stay with you or your accountant.
Will the AI act without asking me?
Only where you allow it. Each Weyvox agent has an Autonomy switch: off, it shows what it is about to do and waits for your yes; on, it acts and reports back. Payments are marked only on your word, whatever the switch says.
Can the AI post on social media for my business?
Yes. Alice, Weyvox’s marketing agent, writes a version of each post for every network you connect — Instagram, Facebook, TikTok, YouTube, LinkedIn, Threads, Pinterest and Bluesky — with photos or short videos, and publishes now or on a schedule. With her Autonomy off she shows you each post before it goes out.
What if I take on staff later?
From the Business plan — €89 a month excl. VAT with €110 of credit — you can add up to 10 team members. Each signs in with an access code, sees only their own orders and the agents you assign, and a seat costs €10 a month. Business also adds Goals and background tasks.
Let the team take the next call
The quickest way to judge it is on your own business. Right after you sign up, Cindy calls your phone, you play a customer, and she takes a real order and sends the SMS; Marc turns it into a document and Alice makes a photo for a post — all before you choose a plan. Weyvox is available for iPhone and Android.
