AI call notes, call recording, transcript or note taker: what is the difference
All of them try to make sure nothing said on the phone is lost. They differ in what they keep and in how much work is still left for you:
| Option | What it keeps | What is left for you |
|---|---|---|
| Call recording | The audio of the whole call | Listening again to find the part that matters |
| Transcript | Every word, as text | Reading the whole conversation to find what was agreed |
| AI note taker on your own call | A summary of a conversation you held | Taking the call yourself, then doing what was agreed |
| Cindy's call note in Weyvox | A short summary — who, what was learned, what was agreed; no audio | Checking it: the order is already in your list and the confirmation SMS already sent |
The difference is who held the conversation. Cindy does not sit next to your call: she runs it — answers questions from your business profile, quotes your prices, offers genuinely free times and records the order before saying goodbye — and the note is her report on it. Everything she does as a receptionist is on her page: AI receptionist for small business.
What is in an AI call summary
- Who it was. The caller, or the person she called. A returning customer is recognised by their number.
- What was learned. The question, the details, the answer she gave from your business profile and price list.
- What was agreed. A time, an address, a price, an order.
- Important arrangements, separately. After a call she answered or took over, a booked appointment or a promised call-back is also reported to you in a separate message, with a notification on your phone, so it does not get lost in a longer text.
- The order is already there. What the caller agreed to buy or book appears in “Customer orders” right away, marked Not confirmed until you check it and tap Confirm.
- The confirmation, if the customer wanted it. On a call Cindy offers to text the customer what was agreed and sends the SMS only after they say yes; it shows in the conversation as an SMS card with its delivery status.
Which calls get a note — and where you find it
Cindy writes a note after every call she handled:
- Calls she answers for you. With “Agent auto-answer” on, she takes incoming calls on your Weyvox number and on calls forwarded from your business number — straight away or after 10–40 seconds of ringing for you. After each one, your phone gets a notification “Cindy answered the call”, which opens the conversation with her note. How one such call runs is described in Can AI answer phone calls for my business?
- Calls she places for you. Ask in the chat — “call the supplier and ask when the delivery arrives” — and afterwards the call card in that chat shows the outcome and her note. More in An AI that calls for you.
- Your own call that you hand to her. On a live call in the app, tap AI agent: Cindy takes the conversation, and the note follows it.
The note sits on the call in the conversation with that number, in the Calls tab; for a call from the chat, also in that chat. Each customer card holds that customer's orders and calls, so the history of a customer is in one place. In Results, “What the team did” counts Cindy's calls and the orders that came from them, and “Needs your attention” lists missed calls nobody has replied to yet.
A note in your language, whatever language the call was in
Cindy speaks over 40 languages. She starts an incoming call in the language of the caller's country, judged by the number — or in your own language when the number does not tell — and switches as soon as the other person clearly speaks another one. The note does not follow the call: it is written in the language you write to the agents in (your app language until you have written to them).
So a call held in Spanish with a tourist, or in Polish with a supplier, reaches you as a short note in English. For a business with customers from several countries, that is often the most useful part: you know what was agreed without speaking the language of the call.
Asking about the details after the call
A note is short on purpose. When you need more:
- A call placed from the chat — the text of the conversation stays available to the agents for 24 hours. Ask in that chat: “what exactly did they say about Thursday?”
- After that, and for the calls she answered for you, the note is what remains.
That is why a good note is written for action: who to call back, what to prepare, what was promised. If an arrangement matters, it also comes to you as a separate message — you do not have to dig for it. The note after a call is described in the documentation.
No audio, and the caller is told
Weyvox stores no call audio. At the start of every call — incoming, outgoing, and when she takes over a call from you — Cindy introduces herself as your business's AI receptionist and says that the conversation is recorded (transcribed) for a call note, and that no audio is kept. This is a product rule, not a setting, and it cannot be switched off. It follows the transparency rules for AI systems in Article 50 of the EU AI Act, and Weyvox applies it on every call, everywhere; this describes our approach and is not legal advice. The legal side of AI calls is covered in Are AI phone calls legal?
Anyone who does not want AI calls can block their number at weyvox.com/optout: no Weyvox agent calls it, texts it or answers its calls.
Three examples of AI call notes
The names and details below are made up; the way the note arrives is how Weyvox works.
- A call you could not take. A plumber is under a sink when the phone rings; after 20 seconds Cindy answers. The note: a new customer, Claire, has a leaking kitchen tap; Cindy quoted the call-out price from the price list and booked her for Thursday at 10:00, the first free slot; Claire agreed to an SMS confirmation. The booked visit also arrives as a separate message, and the order waits in “Customer orders” as Not confirmed.
- A call she made for you. A café owner writes: “call the bakery and ask when tomorrow's delivery arrives”. The call card shows the outcome and the note: delivery moved to 7:30, two trays instead of three. Within 24 hours the owner asks in the same chat: “did they say why only two?” — and gets the answer from the conversation.
- A call in another language. A guest calls a small guesthouse in Italian, from an Italian number; Cindy answers in Italian. The note arrives in English: the guest asked whether there is parking and a free room for two nights next weekend; Cindy answered from the business profile and promised that the owner will call back to confirm — and that call-back also comes to the owner as a separate message.
What AI call notes cost
Weyvox prices are in credits: 1 credit = €0.01 excl. VAT. Plans are monthly — Start €25 excl. VAT with 2,500 credits, Business €110 with 11,000, Professional €250 with 25,000 — and Cindy's work comes out of the plan credits first, then out of extra credits.
- The note has no line of its own in the price list: it comes with the call, which is billed by its minutes — about 21 credits a minute for Cindy (12.5 for the voice and the conversation plus the agent's work), plus the operator line for the country.
- An average call: the cost simulator on the pricing page counts ≈ 46 credits — an estimate; a real call is billed by its minutes and the line.
- An SMS confirmation: ≈ 8 credits per segment, depending on the country.
A worked month. Cindy handles 30 calls: 30 × ≈ 46 = ≈ 1,380 credits — a little over half of the Start plan's 2,500, with a note after each one. A month in which Cindy handled no calls costs nothing in agent minutes. Every unit price and each country's line rate are on the pricing page.
Honest limits
- Notes are for the calls Cindy handled — answered, placed, or taken over from you.
- No audio to play back. If you need the exact words later, that is possible only for a call placed from the chat, and only for 24 hours.
- No credits, no answer. When your plan credits and extra credits are both used up, or your subscription is not active, Cindy does not pick up: the call rings on your phone as an ordinary call.
- No voicemail messages. If a call she places reaches voicemail, she leaves no message and hangs up.
- No money decisions. She never marks anything as paid: a payment is recorded only on your word.
- Not a person. While Cindy talks, the call sits in the app as a mini card — listen in, take the conversation over or end it.
Cindy, the AI receptionist — on her own or with the other agents
The note is where Cindy's call ends and the rest of the work begins. Cindy is the AI receptionist in Weyvox; everything she does is on her page: AI receptionist. You can use her on her own: the other Weyvox agents switch on in the same app when you need them, and an agent you switch off costs nothing. What they share keeps the call moving — one business profile, price list and customer list. An order Cindy takes on a call goes to Marc, the AI manager, for the invoice; Leo, the AI coordinator, reminds you on time; Alice, the AI marketer, quotes in your posts the same prices Cindy gives on the phone. How Cindy books callers into free time is in AI appointment scheduling.
Questions people ask
What are AI call notes?
Short written summaries of a phone call made by AI: who it was, what was learned and what was agreed. In Weyvox, Cindy, the AI receptionist, writes one after every call she handled — answered, placed or taken over from you — in the chat with that number, in the language you write to the agents in.
Is there an AI note taker for phone calls?
In Weyvox the AI is not only taking notes — it is on the call. Cindy answers your business calls, calls people for you and takes over calls you hand to her, and after each one she leaves a call summary in the app; after a call she answered for you, a notification “Cindy answered the call” opens that note.
Does Weyvox record phone calls?
Weyvox stores no call audio. The conversation is transcribed for Cindy's call note, and at the start of every call she says so; this cannot be switched off. What remains is the written note; the text of the conversation is kept for 24 hours only for a call placed from the chat.
Can I ask about the details of a call later?
Yes, for a call placed from the chat: for 24 hours the agents still have the text of the conversation, so you can ask in that chat, for example, “what exactly did they say about Thursday?”. After that — and for calls Cindy answered for you — the note is what remains.
How much do AI call notes cost in Weyvox?
The note has no separate price: it comes with the call. A minute of Cindy on a call costs about 21 credits (1 credit = €0.01 excl. VAT) plus the operator line for the country, and the cost simulator counts an average call at ≈ 46 credits, paid from your plan's monthly credits.
Hear Cindy on a call — and read her note
If you choose Cindy when you sign up, the introduction includes a test call at no cost: she rings your own phone (up to two calls, each up to 6.5 minutes), tells you by voice how she will work for your business and answers your questions — before you choose a plan. Weyvox is available for iPhone and Android.
